Role overview

Shipment information and coordination

• Receive, record, and validate customer orders and create routing plans according to Customer Operation Support instructions.
• Coordinate with network offices to collect and control commercial invoices, packing lists, and other required documents and updates.
• Liaise with clients, arrange shipments, and take responsibility for shipments from origin through delivery.
• Coordinate land, marine, and air operations crews across locations and support operations.
• Ensure customs compliance with local import and export regulations for equipment and materials.
• Identify service and cost improvements, including technological and process changes.

Shipment handling and monitoring

• Check cargo availability with network offices and confirm whether shipping can proceed.
• Coordinate out-of-scope requests, rate negotiations with network offices, rate filings with clients, approvals, and shipment confirmations.
• Troubleshoot service deviations, escalate issues, and centralize and follow up on claims.
• Provide 24/7 on-call support after office hours and on public holidays for aircraft-on-ground situations.
• Coordinate day-to-day operations with the client and engage the network on service and cost improvements.
• Report damage promptly and raise claims according to air and sea processes.
• Monitor shipments through Link tracker, resolve service deviations, and deploy recovery plans with the network and client.
• Follow up on missing key data events and ensure trackers are updated promptly.
• Update and distribute SOPs when the scope changes.

Invoices and reporting

• Maintain statement-of-account files with the latest invoices and submit them to dnata for final review.
• Resolve rate discrepancies between the network and client, reconcile invoice disputes, and support weekly reconciliation for timely payment.
• Hold weekly coordination meetings with overseas network teams to review invoice disputes, identify causes, track resolution, and ensure closure.
