Role overview

Shipment coordination

• Receive, record, and validate customer orders and execute routing plans according to customer operations support instructions.
• Coordinate document collection, shipment updates, client liaison, and shipment arrangements with network offices.
• Take responsibility for shipments from origin through customer delivery.
• Coordinate land, marine, and air operations crews across locations and support operations.
• Ensure compliance with local import and export customs regulations for equipment and materials.

Shipment handling and monitoring

• Check cargo availability and confirm shipments can proceed; manage out-of-scope requests, rate negotiations, client rate filing, and approvals.
• Troubleshoot service deviations, escalate issues, and centralize and follow up on claims.
• Provide 24/7 on-call support after office hours and on public holidays for aircraft-on-ground situations.
• Monitor shipments using the Link tracker, address missing data, and deploy recovery plans with network teams and clients.
• Report damages and raise claims according to air and sea processes; update and distribute SOPs when scope changes.

Invoices and improvement

• Maintain statement-of-account files and invoices for client review; resolve rate discrepancies and reconcile invoice disputes with network teams.
• Hold weekly coordination meetings with overseas network teams to review invoice disputes, identify causes, track resolution, and ensure closure.
• Seek process and technology improvements to address service failures and costs.
