Shipment coordination and execution
- Receive, record, and validate customer orders; create routing plans according to Customer Operation Support instructions.
- Coordinate with network offices to collect commercial invoices, packing lists, shipment updates, and other required documents; liaise with clients and arrange shipments.
- Take responsibility for shipments from origin country through delivery to the customer.
- Coordinate land, marine, and air operations crews across locations and provide operational support.
- Ensure customs compliance with local import and export regulations for equipment and materials.
- Check cargo availability and confirm whether shipments can proceed.
- Coordinate out-of-scope requests, rate negotiations, client rate filing, and approvals before confirming shipments.
- Troubleshoot service deviations, escalate issues, centralize claims, and follow up.
- Provide 24/7 on-call support for aircraft-on-ground situations, including after office hours and public holidays.
Monitoring, service, and invoices
- Monitor shipments through the Link tracker, resolve service deviations, and deploy recovery plans with the network and client.
- Report damage promptly and raise claims according to air and sea processes.
- Follow up on missing key data, coordinate corrective action with network offices, and keep the tracker updated.
- Update and distribute SOPs when scope changes.
- Maintain statement-of-account files with current invoices and submit them for client review.
- Resolve rate discrepancies between the network and client, reconcile invoice disputes, and coordinate weekly reviews with overseas network teams.
