Operations Executive - Aerospace

Role Overview

Check the Shipment Information

• Receive, record, and validate customer orders.
• Realize the execution plan (routing) according to Customer Operation Support (COS) instructions.
• Coordinate with network offices to collect and control required documents such as commercial invoices and packing lists.
• Take responsibility for the shipment from origin country until delivery to the customer.
• Seek innovative ways to improve service and cost through technological and process improvements.
• Ensure coordination between land, marine, and air operations crews in different locations.
• Ensure customs compliance with import/export local regulations for all equipment and materials.

Handle and Monitor Shipments

• Coordinate with network offices to check cargo availability and confirm shipping can proceed.
• Handle ad hoc out-of-scope requests including rate negotiations with network, rate filing with client, and obtaining approvals before shipment confirmation.
• Troubleshoot service deviations, centralize claims and follow up.
• Provide 24/7 on-call support for after-office hours and public holidays for AOG situations.
• Monitor shipments through the Link tracker, resolve service deviations and deploy recovery plans with the network and client.
• Follow up on missing key data events with network offices and ensure the tracker is updated timely.
• Update and disseminate SOPs to the network when scope changes.

Invoices and Reports

• Maintain SOA files with latest invoices and submit to Dnata for final review.
• Resolve rate discrepancies between network and client, reconciling disputes on invoices weekly to ensure timely payment per agreed credit terms.
• Conduct weekly coordination meetings with overseas network teams to review invoice disputes, identify root causes, track resolution status, and ensure closure within agreed timelines.
• Prepare operational reports, review business trends and provide analyzed feedback to the manager.
• Be responsible for effective operational execution of commitments through qualitative pre-assessment.

Notes and Corrective Action

• Use One TMS.
• Manage the team and ensure work is delegated and aligned properly.
• Ensure SOPs are in place for new client onboarding or new stations.

Education and Experience

• College, professional or university degree in operations or supply chain management or related functional area, or equivalent education and experience.
• Minimum 3 years experience in the Freight Forwarding industry.

Specialist Knowledge & Skills

• Knowledge of import/export laws and regulations and customs clearance compliance, specifically UAE Customs requirements.
• Excellent written and oral communication skills including the ability to persuade, influence, negotiate, and make formal presentations.
• Working knowledge of IT technical disciplines related to systems architecture, operating systems, programming environments and databases.
• Strong interpersonal skills including diplomacy and patience.
• Demonstrated skills in organization group process, problem identification and resolution.
• Strong organizational and time management skills with ability to manage multiple projects and set priorities.
