Senior Procurement Officer - AI & Process Automation

Role overview

Procurement and vendor management

• Manage procurement from requirements and supplier sourcing through purchase orders, delivery coordination, and invoice verification.
• Source and evaluate vendors; compare quotations and recommend suppliers based on price, quality, lead time, reliability, and contract terms.
• Negotiate pricing, payment terms, delivery schedules, and other commercial conditions.
• Coordinate with project, engineering, finance, and site teams to ensure timely availability of materials and services.
• Manage requisitions, orders, supplier documentation, delivery tracking, invoices, records, contracts, and pricing information.
• Monitor supplier performance, resolve issues, follow company policies, and support planning, budget control, cost analysis, and reporting.
• Where applicable, procure construction materials, building supplies, MEP materials, equipment, subcontracted services, and other project needs.

AI, automation, and process improvement

• Review workflows and identify opportunities to automate manual and repetitive procurement tasks.
• Design and implement AI-powered and rule-based workflows, including requisitions, quotation handling, purchase orders, supplier onboarding, document processing, approvals, and reporting.
• Automate information extraction from quotations, invoices, orders, contracts, and other supplier documents.
• Use AI for supplier research, quotation analysis, document summaries, reporting, and data organisation.
• Develop tracking for requests, order status, deliveries, approvals, contract expiries, and supplier follow-ups; establish alerts, dashboards, and reports.
• Integrate workflows with ERP systems, spreadsheets, databases, and other business tools where feasible.
• Work with stakeholders to implement, test, document, and improve solutions; maintain human review, accuracy, confidentiality, and approval controls.

Requirements

• At least 5 years of procurement, purchasing, or supply-chain operations experience.
• Strong knowledge of end-to-end procurement and supplier/vendor management.
• Demonstrated experience implementing AI tools, workflow automation, or digital process improvements.
• Ability to identify manual processes and independently develop practical automation solutions.
• Hands-on familiarity with AI and automation tools such as ChatGPT, Claude, Power Automate, Make, Zapier, n8n, or equivalent.
• Experience with Excel automation, structured data, document extraction, reporting, and workflow integration.
• Understand quotations, purchase orders, supplier negotiations, procurement documents, delivery tracking, and cost control.
• Strong analytical, organisational, negotiation, and problem-solving skills; able to work independently, manage priorities, and collaborate across departments.

Preferred experience

• Real estate development, construction, contracting, or engineering project experience is strongly preferred.
• ERP, procurement-management, accounting, or inventory systems experience is an advantage.
• Construction materials, MEP procurement, subcontractor sourcing, and project-based purchasing experience are preferred.
• Experience with purchase-to-pay automation, supplier documents, invoice processing, or approval systems is preferred.
• Ability to demonstrate automation projects, measurable efficiency improvements, or workflow examples is preferred.
