Position - Overlay Venue Manager

Duration - 1st July till 15th Feb 2027

Job Purpose

The Overlay Venue Manager is responsible for planning, coordinating, and delivering all venue overlay requirements for assigned event venues.

The role oversees the installation, operation, maintenance, and removal of temporary infrastructure and event-related facilities required to transform a venue into an operational event site.

The position works closely with venue operations, contractors, project teams, functional areas, and stakeholders to ensure overlay works are delivered safely, on schedule, within budget, and in accordance with event requirements.

Venue Overlay Planning & Delivery

  • Lead the planning, coordination, and execution of overlay activities at assigned venues.
  • Develop venue-specific overlay delivery plans, installation schedules, and removal strategies.
  • Ensure all temporary infrastructure and facilities are delivered in line with event operational requirements.
  • Coordinate overlay activities from design review through installation, operational support, and decommissioning phases.
  • Monitor progress against project timelines and ensure timely completion of all overlay works.

Overlay Infrastructure Management

  • Oversee the installation and removal of temporary structures and facilities, including:
  • + Temporary buildings and modular units
  • + Tents and hospitality structures
  • + Temporary seating and grandstands
  • + Fencing and perimeter systems
  • + Wayfinding and signage
  • + Power distribution infrastructure
  • + Lighting systems
  • + Furniture, fixtures, and equipment (FF&E)
  • + Temporary utilities and support facilities
  • + Media and broadcast compounds
  • + Accreditation and workforce facilities
  • Ensure all overlay assets meet operational, safety, and quality standards.

Stakeholder Coordination

  • Act as the primary venue-level contact for overlay-related activities.
  • Coordinate with venue management, contractors, suppliers, project managers, and functional area leads.
  • Collaborate with security, technology, broadcasting, workforce, transportation, hospitality, medical, and competition operations teams.
  • Ensure overlay requirements from all stakeholders are incorporated into venue delivery plans.

Contractor & Supplier Management

  • Manage overlay contractors, suppliers, and service providers at venue level.
  • Monitor contractor performance, productivity, and compliance with contractual obligations.
  • Conduct site inspections and progress reviews.
  • Coordinate access, logistics, and work permits for contractors and vendors.

Health, Safety & Compliance

  • Ensure all overlay activities comply with health, safety, environmental, and regulatory requirements.
  • Monitor safe working practices during installation and dismantling phases.
  • Conduct risk assessments and implement mitigation measures.
  • Support incident reporting, investigation, and corrective action processes.
  • Ensure compliance with venue regulations, event standards, and local authority requirements.

Operational Readiness

  • Support venue operational readiness reviews, testing activities, and venue acceptance processes.
  • Coordinate handover of overlay infrastructure to venue operations teams.
  • Participate in rehearsals, simulations, and operational testing exercises.
  • Ensure all overlay assets are operational prior to event commencement.

Logistics & Site Coordination

  • Coordinate venue logistics associated with overlay delivery and removal.
  • Monitor site access, material deliveries, storage areas, and equipment movements.
  • Resolve operational conflicts and coordinate work sequencing across multiple contractors.
  • Maintain effective communication between venue operations and overlay delivery teams.

Reporting & Documentation

  • Track overlay delivery milestones, budgets, risks, and issues.
  • Prepare progress reports, readiness updates, risk assessments, and post-event evaluations.
  • Maintain accurate records of installation, inspections, certifications, and handover documentation.
  • Support lessons-learned reviews and continuous improvement initiatives.

Qualifications & Experience

  • Bachelor's Degree in Engineering, Construction Management, Architecture, Event Management, Project Management, or a related field.
  • Minimum 7 years of experience in venue overlay, event infrastructure, construction, temporary structures, venue operations, or large-scale event delivery.
  • Experience managing venue overlay projects within major sporting events, exhibitions, festivals, entertainment events, or large public gatherings.
  • Strong understanding of temporary infrastructure, site management, logistics, and venue operations.
  • Experience managing contractors, suppliers, and multi-disciplinary project teams.
  • Strong project planning, scheduling, and stakeholder management skills.
  • Excellent problem-solving, communication, and organizational abilities.
  • Ability to work in fast-paced and operationally demanding environments.
  • Fluent in English; additional languages are an advantage.

Preferred Experience

  • Experience supporting major international sporting events, multi-sport events, tournaments, exhibitions, or mega-events.
  • Knowledge of venue design, overlay planning, site logistics, and operational readiness processes.
  • Experience with temporary structures, event infrastructure, power distribution, and venue construction activities.
  • Familiarity with CAD drawings, venue plans, project schedules, and construction management tools.
  • Professional certifications such as PMP, PRINCE2, IOSH, NEBOSH, or equivalent project and safety qualifications are desirable.

  • Successful venue readiness and operational acceptance.
  • Zero major safety incidents during installation and dismantling phases.
  • Effective coordination of contractors and suppliers.
  • Successful support of event operations with minimal disruption.
  • Timely decommissioning and venue reinstatement following the event.
