The Fit-Out Coordinator supports tenant and contractor coordination throughout the project lifecycle, from induction through project completion.

Tenant and contractor coordination
- Support tenants and contractors from induction through project completion and guide contractors through the DIFC Fit-Out portal.
- Monitor portal status and pending actions; act as a point of contact for fit-out and portal matters.
- Arrange Teams meetings or in-office support where needed, and schedule inductions with tenants, contractors, the Fit-Out Manager, and HSE team.
- Prepare contractor passes and follow up on site visit reports, violations, outstanding portal requirements, and completion feedback.
Reporting and project monitoring
- Prepare weekly fit-out updates and meeting minutes, and maintain monthly fit-out reports.
- Maintain Excel trackers and daily project monitoring records; follow up on documentation and outstanding actions.
Documentation and administration
- Prepare unit handover documents and retail milestones for leased units and follow up for signed copies.
- Prepare manual permits and transmittal notes; maintain filing, archiving, and retrieval of project documents.
- Support staff rosters, leave records, compensatory-off records, and HR-related forms.
Candidate profile
- The candidate profile includes tenant and contractor coordination, fit-out or retail delivery, and fit-out portal administration.
- It also includes project documentation and tracking, reporting, meeting minutes, permits, transmittals, unit handovers, Excel trackers, document control, and archiving.
- Strong written and verbal communication, stakeholder coordination, and administrative and team support are listed.
- Experience in fit-out, facilities management, property management, retail delivery, or commercial developments is described as highly relevant.
