Key responsibilities
- Establish, maintain, and update the project reference-document library and Data Management System.
- Implement and maintain document-control processes, procedures, and systems.
- Monitor pending documents, follow up with engineers and contractors, and notify relevant parties to ensure timely action.
- Maintain communication channels for accurate and timely project information flow.
- Safeguard active and archived documents; manage collection, indexing, filing, maintenance, and disposal of quality records.
- Supervise the central hard-copy and electronic filing system, ensuring organization and confidential handling.
- Process technical drawings, material submittals, RFIs, correspondence, and other documents according to the project distribution matrix.
Experience
- Proven Document Controller or similar experience on large-scale construction or engineering projects, including head office and construction supervision.
- Experience managing drawings, material submittals, RFIs, correspondence, and other technical documentation.
- Experience coordinating with contractors, engineers, and clients.
Skills and competencies
- Proficient in document-control software such as Aconex, Unifier, Procore, or ProjectWise, and MS Office.
- Knowledge of construction or engineering standards and document-control processes.
- Strong organization, time management, attention to detail, communication, and coordination abilities.
- Able to maintain confidentiality and handle sensitive information professionally.
