Job purpose
Manage shipping and logistics operations while providing administrative support for office and project teams.
Shipping and logistics
- Coordinate local and international shipments; liaise with freight forwarders, customs agents, suppliers, and transport companies.
- Track shipments and support timely delivery of materials and equipment.
- Prepare commercial invoices, packing lists, delivery notes, and Bills of Lading.
- Coordinate import/export activities and customs clearance processes.
- Maintain shipment records and logistics reports; monitor transportation costs and logistics performance.
Administration
- Handle office administration and document filing; maintain company records, correspondence, and administrative databases.
- Coordinate travel arrangements, hotel bookings, and visa applications when required.
- Manage office supplies and vendor coordination; support HR with onboarding documentation and employee records.
- Prepare reports, meeting minutes, and departmental correspondence; coordinate administrative requirements with internal departments.
Requirements
- Bachelor's degree or diploma in Logistics, Supply Chain, Business Administration, or a related field.
- Minimum 8–10 years of experience in shipping, logistics coordination, and administration.
- Experience handling import/export documentation and shipment coordination.
- Proficiency in Microsoft Office, including Excel, Word, and Outlook.
- Strong organizational and communication skills; ability to coordinate stakeholders and manage priorities.
Preferred background
- Knowledge of UAE customs and shipping procedures is preferred.
- Experience in engineering, industrial, automation, control systems, electrical, solar, construction, or contracting companies is preferred.
- Experience coordinating with suppliers, freight forwarders, and project teams is preferred.
