Job Description: Customer Service Representative

Job Title: Customer Service Representative (CSR)
Reports To: Customer Service Manager / Team Lead
Employment Type: Full-time / Part-time

Role Summary

We are looking for a compassionate and solutions-oriented Customer Service Representative to be the frontline voice of our company. In this role, you will handle inbound inquiries (phone, email, chat), resolve issues efficiently, and ensure every customer feels heard and valued. The ideal candidate is a patient problem-solver who can turn a frustrating situation into a positive brand experience.

Key Responsibilities

  • Customer Interaction: Respond promptly to customer inquiries via phone, email, live chat, and social media channels.
  • Issue Resolution: Diagnose, troubleshoot, and resolve product/service issues. Escalate complex technical problems to the appropriate department.
  • Order & Account Management: Process orders, returns, exchanges, and refunds. Update customer account information and billing details.
  • Product Knowledge: Maintain a deep understanding of our products, services, policies, and promotions to provide accurate information.
  • Documentation: Log all customer interactions, details, complaints, and resolutions in the CRM system accurately.
  • Customer Retention: Identify and implement solutions to prevent cancellations; offer alternatives or compensations within company guidelines.
  • Feedback Loop: Report recurring customer issues or suggestions to management to help improve products and processes.
  • Team Collaboration: Work with sales, technical support, and logistics teams to ensure seamless customer experiences.

QualificationsRequired

  • High school diploma or equivalent (Associate’s/Bachelor’s degree preferred).
  • 1+ year of customer service experience (retail, hospitality, call center, or similar).
  • Excellent verbal and written communication skills (grammar, tone, clarity).
  • Ability to type 40+ WPM with accuracy.
  • Basic proficiency with computers and common software (email, spreadsheets, web browsers).
  • Strong active listening and empathy skills.
  • Ability to remain calm and professional under pressure.

Preferred

  • Experience with [specific CRM, e.g., Zendesk, Salesforce, HubSpot, Freshdesk].
  • Bilingual in [Language] and English (a plus, not required).
  • Experience in [your industry, e.g., SaaS, e-commerce, healthcare, banking].
