CRM & Collection Executive

Position Overview

Payment Collections and Emails

• Follow up with customers regarding overdue and outstanding payments through email, telephone, and WhatsApp.
• Maintain collection trackers, payment statuses, remarks, customer commitments, and payment dates.
• Collect and maintain Proof of Payment documents and prepare collection updates for management.
• Manage customer emails concerning payments, confirmations, complaints, and collection requests.
• Send overdue reminders, generate Statements of Account, and coordinate payment queries with Finance, Sales, and Customer Care.

Invoicing and Payment Documentation

• Generate proforma invoices after verifying payment schedules, account details, amounts, milestones, and customer information.
• Monitor confirmed payments, generate payment receipts, allocate payments, and maintain payment records.
• Upload customer and agency Proof of Payment documents into the CRM or system.
• Prepare and follow up on third-party payment undertaking letters where applicable.

DSR and Oqood Processing

• Generate DSR after SPA execution and completion of the required 24% payment milestone.
• Verify documents, submit DSR materials for approval, and coordinate with Customer Care after approval.
• Maintain the Oqood tracker, update Salesforce, upload approved Oqood certificates from DLD, and monitor registration status.

Customer Handover and Mortgage Coordination

• Coordinate handover documentation, readiness requirements, payment prerequisites, DEWA registration, chiller registration, and other requirements.
• Coordinate handover appointments with Building Management, prepare Handover Notices, and monitor completion for each customer.
• Assist customers with mortgage financing and coordinate documentation, approvals, cheque processing, and pending requirements with banks and internal teams.

Salesforce and Process Improvement

• Support the Sales Team with Statements of Account, payment clarifications, proforma invoices, payment receipts, and CRM backend activities.
• Maintain accurate customer, payment, collection, and document records in Salesforce.
• Report CRM system bugs, monitor issues through resolution, and support new automations, workflow changes, and process testing.
• Identify process gaps and recommend improvements that increase operational efficiency and data accuracy.

Required Skills and Qualifications

• 5–7 years of relevant UAE real estate experience in CRM, collections, customer service, or post-sales operations.
• UAE real estate experience is mandatory.
• Experience with CRM, collections, customer relations, or real estate administration.
• Hands-on experience with Salesforce or a similar CRM system.
• Strong understanding of SPA payment schedules, Statements of Account, payment milestones, collections, and customer accounts.
• Good knowledge of payment documentation, Proof of Payment, payment receipts, proforma invoices, and third-party payment undertakings.
• Good knowledge of Microsoft Excel and reporting trackers.
• Ability to coordinate with Sales, Finance, Customer Care, banks, Building Management, DLD, and CRM or IT teams.
• A bachelor’s degree or relevant professional qualification is preferred.
