About This Role
Job Purpose
The HR Assistant provides day-to-day administrative and operational support to the HR & Administration department.
The role assists in delivering efficient HR services across the employee lifecycle, including recruitment, onboarding, attendance, payroll support, document management, and employee relations, while ensuring compliance with UAE Labour Law.
Recruitment & Onboarding
- Assist in posting job vacancies on relevant platforms and screening received applications.
- Schedule and coordinate interviews between candidates and hiring managers.
- Prepare offer letters, employment contracts, and onboarding documentation.
- Facilitate new employee orientation and ensure smooth onboarding process.
HR Documentation & Records
- Maintain and update employee files, both physical and digital (HRMS/ERP).
- Draft HR letters including experience letters, salary certificates, NOCs, and warnings.
- Ensure personnel records are accurate, complete, and up to date at all times.
- Assist in preparing HR reports, trackers, and dashboards as required.
Attendance, Leave & Payroll Support
- Monitor and maintain attendance records, leave applications, and approvals.
- Coordinate monthly attendance data and share with payroll for processing.
- Assist in preparing payroll inputs, deductions, and final settlement calculations.
- Maintain leave balances and flag discrepancies to the HR Manager.
Visa, PRO & Government Coordination Support
- Assist the Visa & Admin Officer with document preparation for visa applications, renewals, and cancellations.
- Coordinate with PRO for labour card, Emirates ID, and related government submissions.
- Track visa and document expiry dates and alert the team for timely renewals.
Employee Relations & Communication
- Serve as a first point of contact for general employee HR queries.
- Escalate complex issues to the HR Manager in a timely manner.
- Assist in communicating HR policies, circulars, and announcements to staff.
- Support employee engagement and welfare initiatives as directed.
General Administration Support
- Manage office supplies and coordinate with vendors for admin requirements.
- Worker and Management Ticket bookings
- Handle incoming and outgoing correspondence related to HR and admin matters.
- Support the department in ad hoc tasks and special projects as assigned.
Experience
1–3 years of HR or administrative experience, preferably in the UAE
Knowledge
Working knowledge of UAE Labour Law (Federal Decree-Law No. 33 of 2021)
Technical Skills
Proficiency in MS Office (Word, Excel, Outlook); experience with HRMS/ERP systems is an advantage
Language
Excellent written and spoken English; Arabic is an added advantage
Interpersonal Skills
Strong communication, attention to detail, high level of confidentiality, and ability to work under pressure
