Role Overview
We are looking for a smart, reliable, and highly organised Admin & Operations Coordinator who can manage daily operations, dispatch teams efficiently, and ensure every job is tracked, completed, and billed properly.
This is not a basic admin role.
This is an operations control role.
The successful candidate will act as the central coordination point of our maintenance operations by assigning daily jobs, following them through to completion, handling clients before and after the work, and ensuring all paperwork is properly managed so every completed job is invoiced correctly.
We are looking for someone who takes ownership and works proactively.
Dispatch & Job Coordination (Main Role)
Assign daily jobs to technicians and supervisors
Plan routes and schedules efficiently across Dubai
Ensure teams reach client sites on time and complete jobs as planned
Follow up continuously until each job is fully completed and signed off
Job Tracking & Client Handling
Maintain complete tracking of all ongoing and completed jobs
Communicate with clients before, during, and after each job
Handle client complaints professionally and calmly
Ensure high customer satisfaction and encourage repeat business
Invoicing & Documentation
Prepare quotations, invoices, and job reports
Maintain proper records of all jobs and payments
Handle document control for both maintenance and fit-out projects
Organise LPOs, receipts, and site documents
Admin & Office Support
Support daily office operations
Coordinate with suppliers and internal teams
Assist in procurement follow-ups
Maintain organised filing systems, both digital and physical
Basic Accounts Assistance
Track payments and pending invoices
Coordinate with accounts for collections and records
Maintain simple expense and job-cost logs
Required Skills & Experience
UAE experience in maintenance, fit-out, or technical services is preferred
Strong English communication skills, both written and verbal, are mandatory
Ability to handle clients professionally under pressure
Highly organised and detail-oriented
Strong multitasking ability
Good working knowledge of Excel, WhatsApp coordination, and basic office software
Experience with Jobber, Odoo, or similar CRM/operations systems is a strong advantage
Fast learner with a problem-solving mindset

Currently residing in the UAE
