Transport Assistant – Operations

About This Role

We are seeking a highly experienced and well-connected Transport Assistant – Operations to join our logistics team. This role is ideal for candidates with strong expertise in sourcing trucks, managing drivers, and coordinating transportation operations across the UAE and cross-border routes.

Key Responsibilities

Market Research & Procurement

· Continuously explore the market to source suitable trucks based on customer needs (type, cost, capacity, route, timeline).

· Build and maintain strong relationships with drivers, transport companies, and brokers.

· Negotiate competitive freight rates while ensuring service quality.

· Arrange various equipment and truck types (Flatbed, Lowbed, Reefer, Curtain-sided, Car carriers, Pickups, Cranes, Forklifts, etc.).

Truck Arrangement & Coordination

· Coordinate with internal teams to confirm truck requirements and availability.

· Provide timely updates on scheduling and truck movements.

· Maintain daily tracking and reporting of transportation activities.

Driver Coordination & Management

· Act as the main point of contact for drivers.

· Address issues during transit and provide immediate solutions.

· Ensure smooth communication between drivers and operations team.

Cross-Border Transportation

· Handle logistics challenges related to cross-border shipments.

· Ensure compliance with customs regulations, documentation, and clearance procedures.

· Coordinate closely with internal teams regarding border requirements and delays.

Cargo & Documentation Handling

· Provide drivers with complete shipment details, documents, and handling instructions.

· Collect delivery notes, receipts, and shipment documents after delivery.

· Prepare driver agreements and obtain required signatures.

Financial & System Management

· Maintain accurate records of truck details, drivers, and freight rates in company systems.

· Support operational reporting and cost tracking.

Communication & Collaboration

· Serve as the primary contact for drivers regarding updates and issue resolution.

· Work closely with coordinators and operations team for smooth execution.

Requirements (Mandatory)

· Minimum 2+ years of experience in operations within a freight forwarding company.

· Proven experience in arranging outside trucks and managing drivers.

· Strong network of drivers, brokers, and transport companies.

· In-depth knowledge of truck types, loading capacities, and special permits.

· Solid understanding of free zone and cross-border clearance procedures.

· Excellent negotiation and relationship management skills.

· Valid UAE Driving License (Required)

· Languages: English, Hindi & Urdu (Required), Arabic (Optional)
