About This Role

Key Responsibilities

Sales Support

· Collect client details and required documentation from customers.

· Prepare accurate quotations including rates, truck types, dimensions, weight, and transportation charges.

· Maintain records in the company tracking system.

· Follow up with clients for quotation approvals and contract confirmations.

· Collaborate with sales team to resolve customer concerns and maintain satisfaction.

Customer Service

· Act as the first point of contact for clients to confirm shipment requirements.

· Provide daily tracking updates from pickup to delivery.

· Respond promptly to client inquiries with accurate information.

· Handle delays or issues efficiently by coordinating with operations.

· Gather client feedback and support long-term relationship building.

Coordination & Communication

· Liaise with internal teams (sales, operations, finance, management) for smooth workflow.

· Coordinate with customs brokers, agents, and authorities for border processes.

· Ensure all client details are properly communicated to operations.

· Monitor and report any delays, issues, or incidents.

Financial Responsibilities

· Process contracts and job openings after confirmation.

· Verify and approve payment vouchers before final approvals.

· Maintain accurate costing records (provisional, actual, and selling).

· Ensure proper filing and system updates of invoices and financial documents.

Documentation & Compliance

· Collect and verify shipping and customer documentation.

· Ensure all shipment details are entered correctly in the system.

· Manage waybills, driver agreements, and customs documentation.

· Ensure compliance with company policies and regulatory requirements.

· Dispatch invoices and obtain client acknowledgments.

Requirements

· Bachelor’s degree in Logistics, Business Administration, or related field.

· 2+ years of experience in working as a Land Freight Coordinator.

· Strong organizational and multitasking skills.

· Excellent communication and problem-solving abilities.

· Proficiency in MS Office and logistics systems.

· Attention to detail and ability to work under pressure.
