Role Description

This is a full-time, on-site Secretary role based in Mecca.

The Secretary will handle daily clerical and administrative tasks, including managing correspondence, preparing documents, organizing files, and maintaining office records.

Responsibilities

include scheduling and coordinating meetings, managing calendars for leaders, arranging travel or logistics when needed, and greeting and directing visitors.

The role involves supporting company secretarial work such as preparing agendas, drafting minutes, and assisting with documentation and compliance requirements.

The Secretary will also respond to phone and email inquiries, provide customer service to internal and external stakeholders, and ensure that office operations run smoothly and efficiently.

Qualifications

  • Strong clerical skills, including document preparation, record keeping, filing, and data entry.
  • Effective communication skills, both written and verbal, with the ability to interact professionally at all levels.
  • Experience with company secretarial work, such as preparing meeting agendas, minutes, and supporting governance documentation.
  • Background in executive administrative assistance, including calendar management, meeting coordination, and task prioritization.
  • Customer service skills for handling inquiries, supporting visitors, and providing timely, courteous responses.
  • Proficiency in standard office software (e.g., word processing, spreadsheets, email, and calendar tools).
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks and deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High school diploma or equivalent required; additional administrative or secretarial training or certification is an advantage.
  • Previous experience in a similar secretarial or administrative role is preferred.
