Overview
The Secretary will provide comprehensive administrative and clerical support to the management and project teams.
The role requires strong organizational skills, attention to detail, and the ability to handle confidential information efficiently in a fast-paced construction environment.
Key Responsibilities
- Manage and maintain executives’ schedules, appointments, and meetings
- Prepare, draft, and edit correspondence, reports, and official documents
- Handle incoming and outgoing communications (emails, phone calls, letters)
- Organize and maintain filing systems (physical and electronic)
- Coordinate meetings, prepare agendas, and record minutes
- Assist in document control related to construction projects (contracts, submittals, reports)
- Liaise with internal departments, clients, consultants, and suppliers
- Arrange travel, accommodation, and logistics when required
- Monitor office supplies and place orders when necessary
- Ensure proper documentation and record-keeping in compliance with company procedures
- Support HR or project teams with administrative tasks when needed
Qualifications & Requirements
- Bachelor’s degree in Business Administration or related field preferred
- Minimum **5 years of experience** as a Secretary or Administrative Assistant, preferably in the construction industry
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
- Familiarity with document control systems is an advantage
- Excellent written and verbal communication skills in English (Arabic is a plus)
- Strong organizational and multitasking abilities
- Ability to work under pressure and meet deadlines
- High level of professionalism and confidentiality
