Receptionist / Patient Coordinator – Aesthetic Clinic
We are a new aesthetic clinic located on Sheikh Zayed Road, Dubai, dedicated to delivering advanced aesthetic, skincare, and wellness treatments in a luxurious and client-focused environment.
We are looking for a polished, professional and customer-oriented Receptionist / Patient Coordinator to be the face and voice of our clinic.
The ideal candidate should have prior experience in an aesthetic, dermatology, beauty, wellness, or hospitality environment and possess excellent communication and coordination skills.
Key Responsibilities
- Welcome clients warmly and ensure a premium first impression of the clinic
- Manage front desk operations including appointments, bookings, cancellations, and follow-ups
- Handle calls, sales calls, WhatsApp inquiries, emails, walk-ins, and online booking requests professionally
- Coordinate schedules and patient flow with doctors, therapists, and aesthetic staff
- Maintain accurate client records while ensuring confidentiality of patient information.
- Able to manage clinic software, DHA and NABID compliance.
- Guide clients regarding clinic services, treatment packages, memberships, skincare products, and ongoing promotions
- Process billing, invoices, payments, and daily cash/card reconciliation
- Handle patient registration, consent forms, and treatment schedules efficiently
- Follow up with client’s post-treatment and support retention/loyalty programs
- Upsell clinic services and packages where appropriate
- Coordinate with marketing and social media teams regarding leads, campaigns, and appointment conversions
- Ensure reception and waiting areas are clean, organized, and aligned with premium clinic standards
- Handle client concerns or complaints calmly, professionally, and efficiently
- Support administrative and operational activities as required
Requirements
- Minimum 2 years of UAE experience in an aesthetic clinic, dermatology clinic, beauty salon, wellness center, medical center environment
- Excellent spoken and written English
- Arabic or Russian language skills are an added advantage
- Strong customer service, communication, and interpersonal skills
- Presentable, polished, and professional personality
- Familiarity with appointment booking systems and clinic software (Clinice or similar preferred)
- Proficient in Microsoft Office and WhatsApp Business communication
- Ability to multitask and work efficiently in a fast-paced environment
- Knowledge of aesthetic treatments, skincare products, and beauty services is highly preferred
- Positive attitude with a customer-first approach and willingness to grow
