Job Description
- Assist Director-QA in peroration and monitoring of annual Quality Management Budget
- Oversee all QA payment commitments to certification bodies; and make proper planning for the compliance to payment timeline.
- Create PR and SRN on time for all the payment commitments & agreement, and closely follow-up with Finance Department for the timely facilitation of payment
- Archive all budget related records in QA Server for reference
- Support QA for the administration related matters such as the support for proper workstation, stationaries, PPEs, transportation, resolve IT related issues, etc. to support achieving department’s objectives
- Coordinate with relevant department for the external audits administration requirements and facilitate necessary arrangements such as air tickets & hotel booking for visitors, transportation, necessary gate pass, arrangement of safety inductions, PPEs, meeting rooms, etc. as required for the smooth & safe visits of auditors & other QA visitors.
- Support the use of web portals of certification / regulatory bodies for handling required application & related documents for sustaining & renewal of licenses & certificates
- Ensure to check the web portals of relevant certification bodies in exact time to download the latest certificate copies and ensure that, the latest copies of all certificates and licenses are available in QA server and IMS Portal.
- Support QA in buying required standards, specifications, codes, etc. as directed by Director-QA
- Oversee and contribute to the document management activities to ensure that all documents and managed and controlled as per the control of documents procedure.
- Responsible for the control of documents related to the QS Program and retention of all records required by this NQA Manual.
- Oversee & provide guidance to document controllers for effectively & accurately maintaining the Master List of Documents
- Contribute to the digitalization of document management system
- Assist Director-QA in preparing Reports, Presentations, and other materials as and when required
- Ensure proper archiving & accessibility of QA Documents & records in coordination with IT team
- Contribute to the continual improvement of integrated management system, Nuclear Quality Assurance System, Laboratory Management System, and other QA processes
- Support Document Controller to effectively maintain & constantly update document review register reflecting the latest status of draft documents and provide weekly update to Manager-QA as per the direction of Director-QA
- Support Document Controller in sharing the draft documents for review with QA reviewers as per the responsibilities assigned by Manager-QA / Director-QA and do consistent follow-up till receive the feedback and share with docent originators
- Support Document Controller in publishing the signed / approved versions of documents into intranet after confirming the compliance to the document control procedure & ensuring the completion of signatures, and send notification email to concerned team immediately after publishing
- Working with Document Controllers to keep the editable versions (MS Word, Excel, etc) of signed / approved documents within the QA Server; and share them with the document owner during future updates
- Support Document Controller to ensure that, relevant version of certification schemes, international standards, product specifications, inspection & testing standards, codes, etc. are consistently maintained in QA Server and applicable items are available in internet for reference & use
- Support Document Controller to maintain and consistently update Master List Documents ensuring that all the latest versions of policies, manuals, charters, procedures, work instructions, reporting & recording formats, process control charts & table, quality plan, certification schemes, standards, codes, specifications, and other applicable external & internal documents are reflected in the Master List of Document
- Support Document Controller in coordination with all departments for ensuring the effective control of all documents meeting the requirements of document control procedure and control of records procedure
Qualification
- Bachelors Degree
- good knowledge of ISO standards and related documentation proc
- 5-8 years of experience in coordination, document control and administration
