About TAIT

TAIT partners with artists, brands, IP holders, and place makers to create live experiences, using technology, engineering, and creative design.

The company has 20 global offices and has delivered productions and experiences in more than 30 countries and all seven continents.

Position purpose

The Proposal Coordinator II supports proposals for venue-based staging and automation, attractions, immersive environments, brand activations, and other experience-related projects.

The role coordinates proposal activities from kickoff through submission, turning client requirements into clear, complete, accurate responses with cross-functional input.

The coordinator manages assigned proposals with sound judgment, follow-through, and timely escalation of questions or risks.

Proposal management

  • Coordinate and, where appropriate, own lower-complexity proposals from kickoff through submission.
  • Review RFPs, scopes of work, tender packages, and client materials to identify requirements and deliverables.
  • Develop and maintain proposal schedules and execution plans.
  • Coordinate proposal documents, presentations, and supporting materials; track deliverables, risks, assumptions, and open decisions.
  • Coordinate internal reviews and ensure materials are complete and ready for submission.
  • Resolve routine issues independently and escalate more complex issues when needed.

Collaboration and proposal operations

  • Lead routine proposal check-ins and coordinate contributors across functions.
  • Communicate timelines, responsibilities, and outstanding deliverables; build effective relationships with technical, creative, project management, account management, and leadership teams.
  • Help facilitate alignment when contributors have competing priorities or deadlines.
  • Maintain and improve proposal assets, templates, and reusable content; keep documentation organized and accessible.
  • Maintain accurate opportunity and proposal information in applicable systems.
  • Identify opportunities to improve coordination, documentation, or proposal workflows.

Minimum qualifications

  • Bachelor's degree preferred, or equivalent combination of education and relevant experience.
  • One to three years of relevant proposal, project coordination, project management, or related experience.
  • Experience independently coordinating projects or workstreams; ability to manage timelines, deliverables, and multiple priorities.
  • Strong written and verbal communication, attention to detail, and follow-through.
  • Proficiency in Microsoft Office, particularly Word, PowerPoint, and Excel.
  • Familiarity with project-management and CRM tools, including Microsoft Project or comparable project-scheduling tools.
  • Ability to work effectively across functions and geographic locations.
  • Arabic fluency is preferred and considered an asset.

Working conditions

  • Periodic international and regional travel is required.
  • A local passport, or the ability to obtain a passport, is required.
