Position purpose

Associate Project Managers support multiple project teams within Project Management, with a documentation-heavy focus on bidding and proposal documents.

The role organizes project information and paperwork for multiple Project Managers and is intended to provide a training ground for future growth in Project Management.

Project management and bidding

  • Work with Project Managers and Senior Project Managers to manage assigned projects and keep internal tracking systems up to date.
  • Communicate project status and progress, participate in managing final deliverables, and monitor risks and delays.
  • Translate client needs into TAIT terminology, keep the client’s vision in view, and help draft proposals and quotes.
  • Contribute to creative and technical solutions, cost estimates, contingencies, pricing, and payment schedule discussions.

Commercial and financial duties

  • Understand project commercial terms and contractual relationships; help ensure TAIT and client responsibilities are properly executed.
  • Plan cashflow and help maintain payment schedules, invoicing, initial budgets, and ongoing financial forecasts.
  • Monitor and control project costs and change orders, and flag potential risks and opportunities early.

Teamwork and continuous improvement

  • Build relationships with Project Performance and Operations groups; communicate openly and organize or attend check-in meetings.
  • Help resolve project challenges, conflicts, or disputes and identify participants for strategic discussions.
  • Complete timekeeping, expense reports, and other administrative tasks.
  • Identify process improvements, participate in initiatives and lessons-learned discussions, and pursue learning opportunities.

Minimum qualifications

  • Experience in the entertainment industry or project management, or a bachelor’s degree in Project Management, Engineering, Construction Management, Technical Theatre, or a live-event-related field.
  • Able to prioritize tasks and meet deadlines in a fast-paced, agile environment.
  • Excellent communication and interpersonal skills with a customer-service-oriented mindset.
  • Strong knowledge of Microsoft Word, Excel, and PowerPoint.
  • Ability to work in the office Monday through Friday and travel to job sites up to 30%.
