Job Summary

The **PRO Assistant** is responsible for providing administrative support for government-related transactions, documentation processing, and personal administrative matters.

The role involves coordinating with government authorities, managing official documents and renewals, ensuring compliance with UAE regulations, and supporting the Owner and family with administrative and personal requirements as assigned.

Key Responsibilities: PRO & Administrative Support

  • Assist in processing and coordinating government-related transactions and documentation.
  • Handle applications, renewals, cancellations, and amendments related to visas, Emirates IDs, labor permits, and other government requirements.
  • Coordinate RTA-related transactions, including vehicle registration renewals, driving license renewals, vehicle inspections, traffic fines, and related documentation.
  • Liaise with government departments, service centers, typing centers, and other authorities to ensure timely completion of transactions.
  • Maintain and organize records of official documents, licenses, permits, registrations, and renewals.
  • Track document expiry dates and ensure timely renewals.
  • Assist in preparing and submitting required documents to relevant authorities.
  • Monitor and follow up on government approvals, permits, and applications to ensure compliance with UAE regulations.

Personal Support

  • Assist the Director and family members with personal errands and administrative tasks as assigned.
  • Coordinate appointments, reservations, deliveries, and special requests.
  • Support travel-related arrangements when required.
  • Handle confidential personal and administrative matters with discretion and professionalism.

Coordination & Reporting

  • Maintain regular updates and reports on pending transactions, renewals, and assigned matters.
  • Follow up on assigned tasks to ensure timely completion.
  • Coordinate effectively with government authorities, service providers, and external stakeholders as required.
  • Perform other duties assigned by the Owner from time to time.

RequirementsEducation & Experience

  • Diploma or Bachelor’s Degree preferred.
  • Minimum 2–5 years of experience in a PRO, Administrative, Government Relations, or similar role.
  • Knowledge of UAE government procedures and documentation requirements.
  • Familiarity with visa processing, Emirates ID applications, labor documentation, and RTA transactions.

Skills & Competencies

  • Strong organizational and administrative skills.
  • Good communication skills in English; Arabic is an advantage.
  • Proficient in Microsoft Office applications.
  • Ability to manage multiple tasks and priorities effectively.
  • Professional, trustworthy, discreet, and detail-oriented.
  • Strong problem-solving and coordination skills.
  • UAE driving license is preferred.
  • Willingness and ability to work flexible hours and remain available outside normal working hours, including weekends and public holidays, as required.

Working Conditions

  • Flexible working hours based on operational and personal requirements.
  • Occasional travel within the UAE for government transactions and assigned duties.
  • Must be available on a **24/7 on-call basis, as needed**, including weekends and public holidays, to support urgent government-related transactions, travel requirements, and personal matters of the Director and family.
