Job Summary

We are seeking a highly organized, reliable, and discreet **Personal Assistant / Executive Secretary** to provide comprehensive administrative and personal support to the Owner/Director.

The ideal candidate will be proactive, detail-oriented, and capable of managing both professional and personal tasks efficiently, including full coordination of local and international travel arrangements.

Key Responsibilities

  • Manage and maintain the Director’s calendar, appointments, and meeting schedules.
  • Screen and coordinate household staff, including housemaids (interviews, selection, and basic supervision).
  • Plan, book, and manage all travel arrangements (flights, hotels, visas, transportation, and detailed itineraries).
  • Handle daily correspondence including emails, phone calls, and messages.
  • Act as a liaison between the Director and internal/external stakeholders.
  • Prepare reports, presentations, documents, and meeting minutes.
  • Maintain organized filing systems (both digital and physical).
  • Monitor deadlines, track tasks, and ensure timely follow-ups.
  • Assist with personal errands and ad hoc tasks as required.
  • Maintain strict confidentiality of sensitive information.
  • Accompany the Director during business trips or meetings when required.

Requirements

  • Bachelor’s degree or equivalent experience preferred.
  • Minimum **2–5 years** of experience as a Personal Assistant, Executive Assistant, or Secretary.
  • Proven experience handling **end-to-end travel coordination** (airline bookings, visas, hotels, transportation).
  • Excellent command of **English** (spoken and written); Arabic is an advantage.
  • Strong organizational, communication, and multitasking skills.
  • Proficiency in **MS Office Suite** (Word, Excel, Outlook, PowerPoint).
  • High attention to detail and excellent time management skills.
  • Professional, discreet, and presentable personality.
  • Ability to work under pressure and adapt to changing priorities.
  • UAE driving license is an advantage.
