Admin & Operations Executive – Real Estate (Dubai)
We are currently seeking an Admin & Operations Executive to join our Dubai office.
This is an important
role within the business, suited to someone with experience in the Dubai real estate market who can operate with structure, precision, and ownership in a fast-paced environment.
You will be responsible for supporting daily operations across sales, listings, administration, HR coordination, and basic finance — ensuring the business runs efficiently and without disruption.
Role Overview
This role sits at the centre of the business, working closely with senior leadership and the wider team to coordinate operations, maintain control across processes, and ensure all transactions and workflows are executed to a high standard.
This is not a passive admin role — we are looking for someone proactive, detail-oriented, and comfortable taking ownership across multiple functions.
Key Responsibilities
Real Estate Operations & Sales Support
• Track deals from enquiry through to completion
• Prepare and coordinate documentation (Form A/B/F, MOU, KYC, AML)
• Liaise with agents, clients, developers, and conveyancers
• Maintain accurate deal and pipeline tracking
Listings & CRM Coordination
• Ensure listings are complete, accurate, and compliant before upload
• Coordinate with internal teams on Property Finder, Bayut, and CRM systems
• Maintain CRM data integrity and lead tracking
HR & PRO Coordination
• Prepare offer letters, employment contracts, and onboarding documentation
• Liaise with PRO for visa applications, renewals, and Emirates ID processing
• Maintain employee records and track visa status
Administration & Office Management
• Manage day-to-day office operations and coordination
• Support senior leadership with scheduling and organisation
• Maintain documentation and internal records
Finance & Reporting Support
• Track expenses, invoices, and payments
• Support commission tracking and deal-based reporting
• Liaise with accounting/bookkeeping teams
• Assist with basic financial reporting
Compliance & Process Control
• Ensure adherence to UAE real estate regulations and documentation standards
• Maintain structured processes and identify areas for improvement
• Flag issues, delays, and inefficiencies proactively
Requirements
• Proven experience in Dubai real estate administration / operations
• Good understanding of:
o Transaction processes and documentation
o CRM systems and property portals (Property Finder, Bayut)
o Trakheesi / DLD / Dubai REST processes
• Highly organised with strong attention to detail
• Ability to manage multiple tasks and work under pressure
• Proactive mindset with strong ownership and accountability
• Strong communication and coordination skills
• Basic understanding of finance / accounting processes is an advantage
