Job Description The Front Office Executive plays a pivotal role in providing exceptional customer service and ensuring smooth operations at the front office of an organization. This position involves being the first point of contact for clients and guests, managing phone calls, receiving and welcoming visitors, and performing administrative duties with a high degree of professionalism and efficiency. The Front Office Executive is responsible for maintaining a positive and professional image of the company while ensuring that all front office duties are executed timely and accurately. The ideal candidate must possess excellent communication and organizational skills and remain calm and courteous in all interactions. Additionally, this role requires a proactive approach to problem-solving and a polished appearance in line with the company’s standards.
Responsibilities
- Greet and welcome guests and visitors with a positive and accommodating attitude.
- Answer, screen, and forward incoming phone calls with efficiency and politeness.
- Manage the reception area to ensure it is tidy and maintains a professional image.
- Coordinate with facilities for front office maintenance and ensure all office equipment is in working order.
- Assist in planning and preparation of meetings, including arranging catering services when needed.
- Keep records of office expenses and coordinate with the accounting department as required.
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort, and distribute daily mail/deliveries to appropriate departments or personnel.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Support the management team with administrative and clerical tasks as needed.
- Monitor and replenish office supplies and handle procurement for front office necessities.
- Document and report any customer service or facilities-related issues and follow up on resolutions.
Requirements
- Proven work experience as a Front Office Executive or a similar role.
- Excellent verbal and written communication skills in English.
- Strong organizational and multitasking capabilities are essential for this role.
- Proficiency in using office management software and multi-line telephone systems.
- Customer service orientation with a passion for providing exceptional service.
- Professional appearance and demeanor fitting for a corporate environment.
- High school diploma or GED; additional qualifications in office management are a plus.
