Job Position: Executive Assistant (Male/Female) Legal Department (Only Qatar Nationality)
Location: Doha, Qatar
Duration: Permanent
Job Requirement
- Job Purpose: Provide comprehensive administrative support to department heads by coordinating schedules, managing communications, preparing documents, and organizing events to ensure efficient operations across the organization. The Executive Assistant serves as the primary point of contact and coordination for internal constituencies (Legal team, Management team, staff, and Company’s governing bodies) and external parties (financial institutions, auditors, consulting firms, Company’s partners) on all matters pertaining to the Governance and Compliance Function.
Minimum Qualification: A Bachelor's Degree in Business Administration.
Nationality: Preferred both Male & Female candidates from Qatar Nationality with fluency in English.
Minimum Experience: Minimum 8 years of experience in similar roles in large companies, of which at least 3 years are in positions of progressively increasing managerial responsibilities, demonstrating a strong need for effective leadership skills.
Key Responsibilities:
Board Secretariat Support
- Provide administrative and coordination support to the Board Secretary in all Board Secretariat activities.
- Assist in the preparation and organization of Board of Directors and Board Committee meetings, including scheduling, logistics, and documentation.
Board Meetings Coordination
- Coordinate Board and Committee meeting schedules in consultation with Board members and senior management.
- Assist in preparing meeting agendas, board papers, and supporting documentation for Board meetings.
- Ensure timely distribution of Board materials to Board members in accordance with governance timelines.
Documentation and Record Management
- Maintain and organize Board records, minutes, resolutions, and official governance documents.
- Ensure proper archiving and confidentiality of Board documentation in line with corporate governance requirements.
Communication and Liaison
- Facilitate communication between the Board Secretary, Board members, senior management, and external stakeholders when required.
- Support preparation of formal correspondence related to Board activities.
Meeting Minutes and Follow-up
- Assist in recording Board and Committee meeting minutes and tracking action items arising from meetings. Monitor and follow up on assigned actions to ensure timely completion.
