Job Purpose
To provide comprehensive administrative and personal support to senior executives, ensuring efficient management of their professional and personal responsibilities.
This role aims to enhance executive productivity by managing schedules, communications, and tasks and fostering effective stakeholder relationships.
Job Responsibilities
- Efficiently schedule and organize the executive's meetings, appointments, and events, ensuring optimal time management.
- Arrange comprehensive travel plans, including flights, accommodations, transportation, and itineraries for both business and personal trips.
- Serve as the primary point of contact between the executive and internal/external stakeholders, managing communications and ensuring timely responses.
- Organize and coordinate meetings, conferences, and events, including venue selection, agenda preparation, and logistics.
- Prepare and edit correspondence, reports, presentations, and other documents. Handle confidential information with discretion.
- Assist with personal tasks such as managing household appointments, running errands, and coordinating personal events.
- Conduct research on various topics as requested by the executive, compiling data and presenting findings in a clear and concise manner.
- Maintain strict confidentiality regarding sensitive information and documents.
Qualification & Skills
- 2-5 years as an executive or personal assistant, preferably in a corporate or fast-paced environment.
- Strong organizational and multitasking skills
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and calendar management tools
- Ability to prioritize tasks and manage time effectively
- Professional and approachable demeanor
- Discretion and confidentiality
- Proactive and self-motivated
- Flexible and adaptable to changing environments
- Friendly and personable, with a strong sense of professionalism
