Position Summary
Saeed Salem Khalfan SSK Enterprises LLC is seeking a proactive and detail-oriented document controller/secretary to manage project documentation and provide administrative support to project and management teams.
The successful candidate will ensure accurate document control processes, timely distribution of project records, and efficient office administration to support smooth project execution.
Key Responsibilities
- Maintain and control all project documentation, including drawings, submittals, approvals, reports, and correspondence.
- Establish and maintain document control registers and filing systems.
- Ensure proper document numbering, tracking, distribution, and archiving.
- Monitor document revisions and maintain up-to-date records.
- Coordinate document submissions to clients, consultants, contractors, and authorities.
- Prepare, format, and distribute project reports, letters, and meeting minutes.
- Manage incoming and outgoing correspondence.
- Provide administrative and secretarial support to project and management teams.
- Maintain confidentiality of company and project information.
- Assist in scheduling meetings, coordinating logistics, and managing office records.
- Ensure compliance with company document control procedures and project requirements.
Required Qualifications
- Diploma or bachelor's degree in business administration, office management, or a related field.
- Minimum 4 years of experience as a document controller, secretary, or administrative coordinator.
- Experience in construction, engineering, or project-based environments is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Familiarity with electronic document management systems (EDMS).
Preferred Qualifications
- Experience handling project documentation for construction or infrastructure projects.
- Knowledge of document control standards and procedures within the UAE market.
