Coordinator – Office of the Chief Executive
The Coordinator provides high-level administrative, communication, and coordination support to a C-level executive.
The role requires an exceptional command of written English, outstanding organizational skills, and the ability to translate executive direction, technical discussions, and meeting notes into professional correspondence, memoranda, presentations, and reports.
The successful candidate will serve as a key point of coordination between the Executive Office, internal stakeholders, and external parties, ensuring that priorities, communications, and follow-up actions are managed effectively and professionally.
Key Responsibilities
- **Executive Communication**
- · Attend executive meetings and accurately capture technical discussions, decisions, and action items.
- · Translate executive instructions and technical notes into clear, concise, and professional memoranda, briefing notes, reports, and email correspondence.
- · Draft, review, and edit executive communications while maintaining a high standard of grammar, style, and professionalism.
- · Ensure consistency and quality across all written communications issued from the Executive Office.
- **Executive Coordination**
- · Coordinate meetings with internal and external stakeholders, including scheduling, agenda preparation, logistics, and follow-up.
- · Manage executive travel arrangements, itineraries, accommodation, and related logistics.
- · Liaise professionally with government entities, partners, customers, and other external stakeholders on behalf of the executive.
- · Track correspondence and ensure timely responses to requests and enquiries.
- **Project & Task Management**
- · Maintain action trackers for executive meetings and strategic initiatives.
- · Follow up with internal departments to ensure timely completion of assigned actions and deliverables.
- · Monitor project progress and prepare structured progress reports and executive dashboards as required.
- · Escalate overdue actions and highlight risks that may impact agreed timelines.
- **Documentation & Reporting**
- · Prepare executive presentations, reports, briefing packs, meeting minutes, and supporting documentation.
- · Organize and maintain executive records and documentation in a structured and confidential manner.
- · Support preparation of Board, management, and committee materials where required.
- **Qualifications & Experience**
- · Bachelor's degree in Business Administration, Management, Communications, or a related discipline.
- · Minimum 3–5 years of experience supporting senior executives, preferably at C-suite level.
- · Experience working in a corporate, government, consulting, engineering, technology, or similarly fast-paced environment is highly desirable.
Skills & Competencies
· Exceptional written and verbal communication skills in English.
· Ability to understand technical discussions and convert them into clear business communications.
· Arabic language proficiency is highly desirable and considered a strong advantage.
· Excellent interpersonal and stakeholder management skills.
· Strong planning, organization, and time management abilities.
· High attention to detail and accuracy.
· Ability to manage multiple priorities under tight deadlines.
· Professional, discreet, and capable of handling highly confidential information.
· Proactive, resourceful, and able to work independently with minimal supervision.
Technical Proficiency
Advanced proficiency in Microsoft Office, including:
· Microsoft Word (advanced document formatting and professional correspondence)
· Microsoft PowerPoint (executive presentations)
· Microsoft Excel (tracking tools, reporting, and dashboards)
· Microsoft Outlook (calendar and correspondence management)
· Microsoft Teams and other collaboration tools

· Ability to anticipate executive requirements and proactively manage priorities.
· Comfortable working with senior leadership and external executives.
· Excellent follow-up skills with a strong sense of ownership and accountability.
· Capable of maintaining professionalism and composure in a fast-paced executive environment.
