Assistant Procurement & Logistics Manager (Healthcare Experience Required)

Position Summary

The Assistant Procurement & Logistics Manager (Healthcare) supports the procurement, supply chain, and logistics operations of the medical facility.

The role ensures timely availability of medical supplies, pharmaceuticals, equipment, and services while maintaining compliance with healthcare regulations, quality standards, and cost efficiency.

Healthcare Procurement

  • Assist in procurement of **medical supplies, pharmaceuticals, consumables, and biomedical equipment**
  • Support sourcing of **approved healthcare vendors and licensed suppliers**
  • Prepare purchase requisitions and purchase orders in line with clinical and operational needs
  • Ensure procurement complies with **hospital policies, regulatory standards, and clinical requirements**
  • Assist in contract negotiation with healthcare suppliers and service providers
  • Monitor pricing, availability, and alternative sourcing options for critical items

Healthcare Logistics & Supply Chain

  • Coordinate timely delivery of **medical and non-medical supplies to wards, departments, and clinics**
  • Track shipments of **pharmaceuticals, lab supplies, and medical equipment**
  • Manage cold chain logistics where applicable (vaccines, temperature-sensitive medicines)
  • Work with freight forwarders and customs brokers for import of medical goods
  • Ensure proper storage and handling in compliance with healthcare standards
  • Monitor stock levels to prevent shortages of critical medical items

Inventory & Warehouse Control

  • Support hospital inventory management systems (ERP / HIS / Odoo or similar)
  • Conduct regular stock checks and reconciliation of medical supplies
  • Monitor expiry dates of medicines and consumables (FEFO – First Expiry First Out)
  • Assist in maintaining emergency stock levels for critical care units

Compliance & Reporting

  • Ensure procurement and logistics processes follow **healthcare compliance and safety standards**
  • Maintain accurate procurement records, supplier documentation, and delivery reports
  • Assist in audits related to procurement and medical inventory
  • Prepare reports on stock usage, procurement cost, and supplier performance

Stakeholder Coordination

  • Work closely with doctors, nurses, pharmacists, and department heads to assess supply needs
  • Liaise with suppliers, distributors, and logistics partners
  • Support Procurement/Logistics Manager in strategic sourcing and planning
  • Coordinate with finance for invoice verification and payment processing

Requirements

  • Bachelor’s degree in Supply Chain Management, Logistics, Pharmacy, Business Administration, or related field
  • **10 years experience in healthcare procurement or hospital supply chain preferred**
  • Experience with medical supplies, pharmaceuticals, or hospital inventory systems
  • Knowledge of healthcare procurement standards and regulatory compliance
  • Familiarity with ERP systems (Odoo, SAP, or hospital information systems)
  • Strong organizational, negotiation, and problem-solving skills
  • Ability to manage urgent and critical medical supply requirements

Preferred Skills

  • **Experience in hospital, clinic, or medical centre procurement**
