Administrative Assistant – Real Estate (Operations Support)
About This Role
We are seeking a highly organized and detail-oriented Administrative Assistant to join our Real Estate Operations team. The ideal candidate will support day-to-day business activities, ensure smooth administrative processes, and assist in managing client and internal coordination tasks.
This role has been created in line with the company’s recent expansion, and we are looking to urgently strengthen our Operations team with a capable and proactive professional.
Key Responsibilities
- Provide daily administrative and operational support to the Real Estate and Property Management team
- Manage and update CRM/property management systems with accurate and timely data
- Handle incoming calls, emails, and client inquiries in a professional and timely manner
- Prepare business correspondence, reports, spreadsheets, and internal documents using Microsoft Office
- Coordinate property listings, viewings, inspections, and leasing activities
- Prepare tenancy contracts, renewals, and related documentation in line with UAE real estate practices
- Track tenancy status, payments, rent reminders, and operational updates
- Support tenant onboarding, move-in/move-out processes, and client communication
- Liaise with maintenance teams, contractors, and vendors to ensure timely service delivery
- Coordinate with internal departments and external stakeholders as required
- Maintain organized filing systems for contracts, leases, and property records (digital and physical)
- Assist in preparing operational and leasing reports
- Support day-to-day operational tasks to ensure workflow efficiency
Requirements
- Minimum 3 years of experience in an administrative role (real estate or property management preferred)
- Previous experience in the UAE real estate industry is highly preferred
- Strong proficiency in Microsoft Office (Excel, Word, Outlook)
- Hands-on experience with CRM or property management systems (mandatory)
- Excellent written and verbal communication skills in English
- Strong business email writing skills
- Highly organized, detail-oriented, and able to multitask effectively
- Arabic language skills will be considered a strong advantage
