Overview
A leading luxury fragrance retail brand is seeking a highly organized and detail-oriented Administrative Executive to support the daily administrative and operational functions of the business.
The ideal candidate should possess excellent coordination skills, strong communication abilities, and prior experience in retail, luxury, or corporate administration within the UAE.
Key Responsibilities
- Manage day-to-day administrative operations and ensure smooth office functioning.
- Coordinate internal communication between departments, retail stores, suppliers, and management.
- Maintain records, reports, contracts, invoices, and confidential company documents.
- Support HR and recruitment coordination including interview scheduling, onboarding documentation, and employee file management.
- Handle purchase requests, vendor coordination, and office supply management.
- Assist in preparing reports, presentations, and business correspondence.
- Coordinate meetings, travel arrangements, hotel bookings, and calendar management for senior management when required.
- Follow up on approvals, payments, and operational requirements with internal stakeholders.
- Maintain accurate filing systems both physical and digital.
- Ensure compliance with company policies and administrative procedures.
- Support retail operations and boutique teams with administrative requirements.
Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum 3–5 years of experience in administration or office coordination, preferably within luxury retail, beauty, fashion, or fragrance industries.
- Strong proficiency in Microsoft Office applications including Excel, Word, Outlook, and PowerPoint.
- Experience working with ERP systems is an advantage.
- Excellent verbal and written communication skills in English.
- Strong organizational and multitasking abilities.
- Professional presentation and interpersonal skills.
- Ability to handle confidential information with discretion.
- UAE experience is mandatory.
Preferred Profile
- Prior experience supporting retail or boutique operations.
- Ability to work in a fast-paced luxury retail environment.
- Strong attention to detail and problem-solving skills.
- Immediate joiners or candidates with short notice periods will be preferred.
