Spare Parts Coordinator

Role Overview

Duties and Responsibilities

• Prepare and submit the spare parts plan at the start of each project.
• Coordinate spare parts review, approval, purchasing, delivery, and handover with stakeholders.
• Identify purchase order items that require spare parts and finalize applicable spare parts lists.
• Instruct engineering teams and vendors on spare parts list requirements.
• Obtain recommended spare parts lists from vendors and review them before submission for approval.
• Review purchase orders, data sheets, drawings, P&IDs, bills of materials, nameplate details, priced spare parts lists, and catalogues.
• Advise vendors on spare requirements according to company guidelines.
• Coordinate with engineering during technical review and approval of spare parts documents.
• Resolve queries or deficiencies identified by the materials standardization division.
• Lead weekly or biweekly spare parts status meetings and provide reports and updates.
• Submit approved spare parts documents and review purchasing files before requesting purchase requisitions or purchase orders.
• Coordinate spare parts delivery and complete handover with the necessary documentation.

Knowledge and Qualifications

• Bachelor’s degree or diploma in engineering.

Experience and Skills

• At least 10 years of work experience.
• Significant experience in a similar position on EPC oil and gas projects or refinery projects.
• Excellent communication and interpersonal skills.
• Attention to detail and management skills.
• Team-oriented, self-motivated, and able to work with limited direction.
• Strong focus on timely performance and problem resolution.
