Overview
The Soft Services Specialist is responsible for overseeing and optimizing soft facilities management services across the museum, ensuring the highest standards of operational excellence, compliance, and visitor experience.
Working closely with outsourced service providers and internal stakeholders, the role drives service quality, contractor performance, and continuous improvement across all soft FM functions.
Key Responsibilities
- Lead the day-to-day management of outsourced soft services, including cleaning, housekeeping, waste management, pest control, landscaping, logistics, and support services.
- Monitor contractor performance against SLAs, KPIs, and contractual obligations, ensuring high-quality service delivery.
- Conduct routine inspections, audits, and performance reviews to maintain operational and regulatory compliance.
- Collaborate with cross-functional teams to support operational readiness and museum-wide initiatives.
- Identify service improvement opportunities and implement corrective and preventive actions.
- Review contractor reports, invoices, and service documentation for accuracy and compliance.
- Support procurement activities, contract administration, and budget monitoring.
- Ensure compliance with health, safety, environmental, and sustainability standards.
- Develop operational reports, dashboards, and performance metrics for management review.
- Build strong relationships with internal stakeholders, contractors, and external partners to ensure seamless service delivery.
Requirements
- Bachelor's degree in Engineering or a related field.
- Experience in Soft Facilities Management within commercial, hospitality, cultural, or public-sector environments.
- Experience managing outsourced FM service providers and contractor performance.
- Strong understanding of FM operations, service contracts, SLAs, KPIs, and regulatory compliance.
- Professional FM certifications (IFMA, BIFM, IWFM, BICS, etc.) are advantageous.
