About This Role
Description
- Provides administrative and clerical support to departments or individuals.
- Handles information requests (collection, issuing customer statements for all hospitals).
- Coordinates office management activities related to supply chain team, logistics, stock, orders, invoices.
- Maintains hard copy and electronic filing system.
- Responds to all on-call tasks and supports the field representatives of the medical division.
- Arrange local and global shipments by requesting order BR with supply chain team.
- Inventory monitoring and allocation requests of the products to the Hospitals.
- Submits the generated reports to the sales director.
- Regularly checks the public tender quotation notifications and requests on Etimad platform and transfers
- them to the concerned departments.
- Prepares financial and technical quotations, also tender sheets.
- Processes invoicing process on Oracle.
- Relays phone calls and emails from the end user and delivers them to the department concerned.
- Prepares monthly reports on sales and consumptions.
- Schedules meetings and arranges conference rooms.
- Alerts manager about cancelations or new meetings.
- Prepares correspondence and stuffs mail into envelopes.
- Prepare agenda for meetings and takes minutes of meetings.
- Coordinates travel arrangements; prepares itineraries; prepares, compiles and maintains travel vouchers.
- Other duties as assigned within the scope of the job.
Skills and Abilities
- Ability to understand, follow written and oral instructions.
- Skill in researching, compiling, and summarizing statistical data and information.
- Ability to establish and maintain effective working relationships with other
- employees.
- Ability to work independently and in a team.
- Ability to work under pressure and juggle multiple tasks.
- A willingness to work regular office hours with some flexibility.
Experience
5+ Years of experience.
Language
Excellent command of oral and written English and Arabic.
