Procurement & Stores Executive – Printing & Branding

Role purpose

Procurement and suppliers

• Review material requirements, prepare purchase requests, obtain approvals, source suppliers, compare quotations and negotiate commercial terms.
• Prepare purchase orders, follow up on delivery and maintain supplier relationships and performance records.
• Coordinate invoices and payments with Finance and retain quotations, orders, delivery notes and supplier documents.

Materials and inventory

• Procure printing and branding materials such as vinyl, banners, printing media, fabrics, films, adhesives, inks, acrylic, signage accessories, tools and packaging.
• Receive and verify deliveries, record and store materials, issue stock to production and maintain ERP inventory records.
• Monitor stock levels, replenish before critical shortages, conduct physical counts and reconcile differences.
• Use appropriate stock rotation, monitor obsolete or damaged materials and control high-value stock.

Production planning and cost control

• Coordinate with production on schedules and expected material demand; ensure critical materials are ready before production starts.
• Arrange urgent purchases for project-critical needs and report shortages, delays or unusual consumption.
• Compare prices, monitor price changes and wastage, identify savings and avoid unnecessary emergency purchases.

Coordination and documentation

• Coordinate material availability and delivery dates with production, design, installation, operations, finance and transport teams.
• Coordinate specifications, samples, replacements and quality issues with suppliers; arrange returns or replacements for defective or incorrect materials.
• Create and maintain ERP purchase requests, purchase orders, goods receipts, material issues, stock adjustments, supplier records and reports.

Quality, safety and compliance

• Check materials against approved specifications and report or reject nonconforming materials.
• Follow approved supplier, procurement, finance, ERP, HSE and inventory procedures and maintain safe storage conditions.
• Handle inks, chemicals, adhesives and solvents safely; maintain safe access and stacking, use appropriate PPE and report hazards.

Qualifications and experience

• Diploma or bachelor’s degree in Procurement, Supply Chain, Business Administration, Logistics or related field preferred.
• Minimum 3–5 years in procurement and store or inventory operations; three years of procurement and store experience is specified as required.
• Printing, signage, branding, advertising, exhibition or production industry experience is highly preferred.
• Good knowledge of printing and branding materials; ERP procurement and inventory experience; and MS Excel and office application knowledge.
• UAE experience and local supplier knowledge preferred.

Skills and competencies

• Strong procurement, negotiation, inventory control, supplier sourcing and relationship management skills.
• Cost awareness, planning, organization, follow-up, coordination, communication and accurate recordkeeping.
• Ability to work under pressure and meet urgent project requirements; strong ERP and Excel skills.

Working conditions

• Primarily based at the Printing & Branding Division and Store; may visit suppliers, warehouses, project sites and other company locations.
• Extended working hours may be required for urgent project needs; work location is in person.

Salary

• AED 3,500–4,500 per month, depending on experience, industry knowledge and technical capability.
