Overview

Key Responsibilitiesvendor Sourcing & Supplier Management

• Research, identify, and evaluate suppliers, vendors, and subcontractors for project materials, equipment, and services.
• Develop and implement sourcing strategies to achieve cost efficiency, quality assurance, and timely project support.
• Build and maintain strong relationships with approved suppliers and subcontractors.
• Obtain, review, and evaluate supplier quotations, proposals, and commercial offers.
• Prepare comprehensive vendor comparison statements and coordinate approval processes with Finance and Accounts before purchase commitments.
• Negotiate pricing, payment terms, contracts, and delivery schedules to maximize commercial value.
• Coordinate with engineering, project, and operations teams to ensure procurement aligns with technical specifications and project requirements.
• Monitor supplier performance and maintain an updated approved vendor database.

Procurement Operations

• Manage daily procurement activities in accordance with company policies and procedures.
• Prepare and issue purchase orders accurately and ensure timely processing.
• Track purchase orders and proactively follow up on deliveries to avoid project delays.
• Monitor inventory levels and initiate procurement actions to prevent material shortages.
• Ensure all procured materials comply with approved specifications, quality standards, and project requirements.
• Coordinate with warehouse and site teams regarding receipt, storage, inspection, and distribution of materials.
• Resolve procurement-related issues including delivery delays, shortages, damaged goods, and supplier discrepancies.

Documentation & Reporting

• Maintain accurate procurement records, including supplier information, quotations, contracts, purchase orders, and pricing history.
• Update procurement systems with order status, delivery schedules, and invoice tracking information.
• Ensure timely submission of supplier documentation to Finance and Accounts for payment processing.
• Prepare procurement reports, including cost summaries, savings analyses, budget tracking, and supplier performance reviews.
• Monitor procurement KPIs and recommend improvements to enhance efficiency and cost control.
• Maintain organized filing systems and documentation for all procurement-related correspondence and transactions.

Cost Control & Commercial Management

• Support budget monitoring and cost-control initiatives across projects.
• Identify cost-saving opportunities through strategic sourcing and supplier negotiations.
• Ensure procurement activities align with project budgets and approved financial controls.

Qualifications & Requirements

• Bachelor’s Degree in Supply Chain Management, Business Administration, Engineering, or a related field.
• Minimum 4 years of proven experience in procurement, purchasing, or supply chain management.
• Experience within landscaping, construction, engineering, infrastructure, or related industries is highly preferred.
• Strong negotiation, supplier management, and commercial evaluation skills.
• Good understanding of procurement best practices, budgeting, and cost-control principles.
• Proficiency in Microsoft Excel and other Microsoft Office applications.
• Experience using ERP systems or procurement software is an added advantage.
• Strong analytical, organizational, and documentation skills.
• Ability to work under pressure and manage multiple priorities within tight deadlines.
• Excellent communication, coordination, and stakeholder management skills.
• UAE experience is preferred.

Preferred Candidate Profile

• Experience procuring materials and services for landscaping, construction, or engineering projects.
• Familiarity with project procurement cycles, subcontractor management, and material logistics.
• Strong understanding of local supplier networks within the UAE market.
• Immediate joiners will be given preference.
