About This Role

Job Purpose:

The purpose of this role is to effectively oversee the procurement process, ensuring the timely and cost-efficient acquisition of goods and services. Responsibilities include negotiating with suppliers, managing contracts, and ensuring adherence to organizational policies and procedures. Collaborate with various departments to understand their needs and deliver optimal procurement solutions.

Resposabilities:

Procurement Planning:

- Assist in developing and implementing effective procurement strategies to meet organizational goals.

- Collaborate with various departments to understand their procurement needs and requirements.

- Forecast demand and plan procurement activities to ensure timely availability of necessary goods and services.

Supplier Management:

- Identify, evaluate, and select suppliers to ensure they meet the organization's quality, cost, and reliability standards.

- Establish and maintain strong relationships with key suppliers to foster long-term partnerships.

Negotiation and Contract Management:

- Negotiate favorable terms, conditions, and pricing with suppliers to secure the best possible deals for the company as a first stage of negotiation.

- Draft, review, and manage contracts and agreements with suppliers, ensuring all terms are clear and enforceable.

- Manage contract renewals and ensure compliance with the terms and conditions.

Order Processing:

- Manage the end-to-end procurement process, from requisition to payment, ensuring accuracy and timeliness.

- Ensure compliance with internal procurement policies and procedures.

- Ensure all purchase orders are processed correctly and resolve any discrepancies promptly.

- Maintain accurate records of orders, deliveries, and payments.

Cost Control and Budget Management:

- Identify opportunities for cost savings and implement measures to achieve financial efficiencies.

Inventory Management:

- Coordinate with inventory and warehouse teams to manage stock levels effectively.

- Ensure optimal inventory levels are maintained to meet operational needs without overstocking.

Compliance and Risk Management:

- Ensure all procurement activities comply with company policies, procedures, and ethical standards.

- Identify and mitigate risks associated with the procurement process.

- Stay updated on industry regulations and standards to ensure compliance.

- Ensure continuity of supply to avoid disruptions to business operations.

Reporting and Analysis:

- Prepare regular reports on procurement activities, costs, and supplier performance.

- Analyze procurement data to identify trends and areas for improvement.

Team Collaboration:

- Work closely with cross-functional teams, including finance, operations, and legal, to ensure seamless procurement operations.

- Provide support, training, and guidance to junior procurement staff, if applicable

- Foster a collaborative and productive working environment within the procurement team.

Compliance and Ethics:

- Ensure all procurement activities adhere to legal, ethical, and regulatory standards.

- Maintain strict confidentiality and discretion in handling sensitive information, financial data, documents, discussions, and communication.

Experience:

  • F&B procurement: 2 years (Preferred)
