Operations Assistant — SmartWills (Remote \| Dubai-based Legal-Tech Startup)
95% of expats in the UAE don't have a locally registered will.
When something happens, bank accounts get frozen, assets locked, and families left stranded for months.
SmartWills fixes that.
We've built a fully remote process that lets expats register their UAE will in just 3 hours — no courthouse visits, no hourly legal fees.
When we turned on our first marketing campaign, we had to shut it down.
Too many clients, not enough hands.
Now we need someone who can be the direct point of contact with every new client.
What You'Ll Do
→ Lead client onboarding calls: 2-3 daily video calls with new clients.
Explain our services, guide them through the process, answer their questions.
You're the first real person clients interact with after signing up.
→ Manage legal documents with zero errors: wills, powers of attorney, guardianship letters.
Update the client database after every call with precision.
One wrong name in a legal document \= a real problem.
→ Coordinate with legal professionals: connect lawyers with clients for document drafting and review.
Track every document's status.
If something is delayed, you update the client before they have to ask.
→ Keep the CRM pipeline running: GHL (Go High Level) is our source of truth.
After every interaction, update immediately.
Weekly reports for the CEO.
→ Use AI as a daily superpower: ChatGPT, Claude — draft client communications, prepare call notes, organize data.
It's not optional, it's how we work.
What We'Re Looking For
- Must have:
- 1-2 years in legal assistant, law firm, or client-facing operations roles
- Fluent English (written and spoken) — non-negotiable
- Comfortable and professional on daily video calls
- Exceptional attention to detail with documents and client data
- Real remote work experience
- Nice to have:
- Italian language skills (not required, but highly valued for internal communication)
- Previous law firm or legal services experience
- CRM management background
- You don't need:
- A specific degree or certification (though a legal background is a strong plus)
