Customer payments and job costs
- Follow up to ensure required customer advance payments are received before work starts; verify payment records and document approvals and exceptions.
- Review proforma invoices and job costs, process supplier payments after management approval, and update and close completed jobs in the system.
Accounting and collections
- Monitor outstanding customer balances and record expected payment dates and collection status.
- Record customer receipts, supplier payments, and other financial transactions accurately in the accounting system each day.
- Maintain complete vehicle sales records, including customer payments, supplier costs, and supporting documents; coordinate to resolve discrepancies or missing information.
Supplier administration and reporting
- Monitor approved supplier payments against budgets and company policies and ensure timely settlement of approved invoices.
- Maintain records of suppliers with approved credit terms and monitor schedules for compliance.
- Prepare daily reports on collections, supplier payments, outstanding balances, and other relevant financial information and submit them to management on time.
Accuracy and records
- Maintain organized, accurate financial records, supporting documents, invoices, payment confirmations, and supplier agreements for review and audit.
- Process transactions according to company procedures and immediately report discrepancies, errors, or unusual transactions to management.
