Job Summary

We are seeking a proactive and detail-oriented **HR Admin** to support various HR and facility-related functions at our busy service center in Dubai.

The ideal candidate will be responsible for onboarding, HR administration, employee relations, payroll coordination, offboarding, compliance monitoring, and basic facility management.

This is an excellent opportunity for someone who is passionate about HR and eager to grow within a fast-paced, service-driven environment.

1. Onboarding

  • Prepare offer letters and employment contracts in compliance with UAE labor law.
  • Manage onboarding and induction processes, ensuring all documentation is complete (EID, visa, medical, insurance).

2. HR Administration

  • Maintain and update employee records in the HRMS system.
  • Draft and issue HR letters (salary certificates, experience letters, NOCs, etc.).
  • Coordinate with the PRO for visa renewals, cancellations, and medical check-ups.
  • Serve as the first point of contact for employees’ queries and concerns, escalating complex issues to the HR Manager.
  • Ensure effective communication and coordination with all departments and team members.

3. Payroll & Compensation Support

  • Review and validate timesheets, overtime data, and attendance logs.
  • Liaise with the payroll/finance department to ensure accurate monthly disbursement.

4. Employee Relations

  • Support the resolution of employee grievances and conflicts.
  • Monitor staff behavior, grooming/hygiene, punctuality, and adherence to uniform and conduct policies.

5. Offboarding

  • Coordinate the offboarding process including exit interviews, clearance forms, and asset handover.
  • Process visa cancellations and coordinate with PRO and IT/admin for access termination.
  • Support final settlement preparation and ensure compliance with UAE labor law and internal policies.
  • Record and analyze reasons for attrition to support retention efforts.

6. HR Policies & Compliance

  • Ensure compliance with internal HR policies and UAE labor regulations.
  • Conduct periodic checks and audits to ensure policy compliance across the workshop.

7. General HR Support

  • Assist in organizing employee engagement activities such as celebrations, surveys, and awareness drives.
  • Provide general administrative support to the HR team and other departments as required.

8. Facility Management

  • Monitor basic cleanliness of the office and common areas.
  • Manage office supplies and stationery inventory.
  • Coordinate with the facility/maintenance team to address workplace needs and upkeep.

Recruitment Activities

  • Post job vacancies on portals and social media channels.
  • Coordinate with department heads to identify hiring needs and job requirements.
  • Screen and shortlist CVs based on job criteria.
  • Schedule and follow up on interviews with candidates and interviewers.
  • Maintain recruitment trackers and ensure timely communication with applicants.
  • Assist with offer roll-out and pre-joining formalities.

Requirements

  • Minimum 1 year of experience in an HR role.
  • Basic understanding of UAE labor law and employee documentation procedures.
  • Confident, quick learner with a passion for HR.
  • Proficient in MS Office (Excel, Word, Outlook).
  • Strong interpersonal, communication, and problem-solving abilities.
  • Fluent in English; knowledge of Hindi and/or Arabic is a plus.
