The General Accountant role is described as managing a timely, smooth, and efficient receiving function while ensuring hotel goods meet quality requirements and policies.
Financial and accounting duties
- Manage closing of books and preparation of financial reports.
- Review and reconcile the general ledger, bank accounts, and profit and loss records for completeness and reliability.
- Analyse and interpret financial reports, identify trends, and make recommendations as needed.
- Supervise and review monthly payroll preparation and ensure timely salary disbursement.
- Coordinate with internal and external auditors to complete audits.
Receiving and records duties
- Review supplier invoices for originality, numbering, itemisation, clear descriptions, and clerical accuracy; acknowledge satisfactory deliveries with the hotel seal and signature.
- Review and process deviation reports and outstanding order reports according to hotel standards.
- Review outgoing records weekly for serial control and completeness.
- Identify outstanding outgoing records and report them to department heads.
- Develop and maintain manual and computer filing systems, with access limited to authorised persons.
- Inform the supervisor of unusual events or deviations from policies or procedures.
- Review receiving reports, invoices, expense reports, payment vouchers, and general cashier reports for authorisation, accuracy, and policy compliance.
Controls and audit duties
- Ensure internal controls operate effectively, policies are followed, assets are safeguarded, and records are complete and accurate.
- File original contracts and important documents in a fireproof safe.
