About This Role
We are looking for a proactive and highly organized Sales Operations & Field Admin Coordinator to support our UAE operations and ensure a smooth order cycle from confirmation to delivery, collection, and administrative follow-up.
The main responsibility of this role is to follow up customer orders after confirmation, coordinate deliveries with customers and logistics teams, conduct field visits when required to ensure proper goods receiving, collect cheques or payment documents from customers, and handle administrative requests and paperwork related to sales operations.
Key Responsibilities
- Follow up customer orders from PO stage until final delivery.
- Coordinate delivery schedules with customers, warehouse, and logistics teams.
- Visit customer sites when required to ensure goods are received properly and in good condition.
- Verify delivery completion, signed delivery notes, proof of delivery, and customer acknowledgments.
- Follow up due payments, overdue invoices, and customer payment commitments.
- Visit customers to collect cheques, payment documents, or required financial paperwork.
- Handle administrative requests related to customer orders, deliveries, collections, and documentation.
- Prepare, collect, submit, and follow up required documents, forms, letters, stamps, signatures, and approvals.
- Coordinate with sales, finance, logistics, warehouse, and admin teams to close pending operational tasks.
- Update ERP/CRM with order status, delivery updates, collection visits, admin tasks, and customer follow-up notes.
- Prepare daily and weekly reports for pending deliveries, delivered orders, field visits, collections, overdue invoices, and pending admin tasks.
- Escalate delivery delays, rejected deliveries, damaged goods, missing documents, customer issues, overdue payments, and delayed approvals.
Requirements
- Experience in sales operations, order follow-up, logistics coordination, customer service, collection follow-up, or administrative coordination.
- Previous experience in field collection, customer visits, or document handling is preferred.
- Valid UAE driving license is required.
- Ability to move across different customer locations within the UAE.
- Strong communication and follow-up skills.
- Ability to deal with customers professionally and firmly.
- Good documentation, reporting, and Excel skills.
- UAE market experience is mandatory.
- ERP/CRM experience is a plus.
- Highly organized, detail-oriented, and able to follow up multiple tasks at the same time.
