About This Role
Administrative Support
- Manage the executive’s calendar, meetings, and appointments
- Handle phone calls, emails, and correspondence professionally
- Prepare letters, reports, memos, presentations, and meeting minutes
- Maintain organized filing systems and confidential records
- Screen and prioritize communications and requests
Coordination & Communication
- Coordinate between departments and management
- Follow up on pending tasks, approvals, and operational matters
- Assist in internal communication with staff and external communication with suppliers or guests
- Arrange meetings, conferences, and hotel events
Office Management
- Monitor office supplies and administrative needs
- Ensure documents, contracts, and reports are properly filed and updated
- Handle travel arrangements, visas, and hotel bookings for executives if needed
Reporting & Documentation
- Prepare daily, weekly, or monthly reports
- Assist in budget tracking and expense documentation
- Maintain records of attendance, schedules, and official documents
Guest & VIP Handling
- Assist in handling VIP guest arrangements and special requests
- Ensure professional reception of visitors and clients
- Coordinate with Front Office and other departments regarding executive requests
Confidentiality & Professionalism
- Handle sensitive information with discretion
- Maintain professionalism in all communications and interactions
- Represent the executive office in a professional manner
Usually Required
- Excellent communication and writing skills
- Strong organizational and multitasking abilities
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Attention to detail and time management
- Ability to work under pressure
- Knowledge of hotel operations is an advantage
- Ability to commute/relocate:
- Al Barsha: Reliably commute or willing to relocate with an employer-provided relocation package (Preferred)
Experience
- Executive Secretary: 2 years (Required)
