The Executive Assistant / Personal Assistant role provides high-level administrative and organizational support to senior executives, directors, or business leaders.
This position ensures smooth day-to-day operations by managing schedules, coordinating meetings, handling communications, and supporting business priorities.
You will act as a trusted support partner, helping executives stay organized, efficient, and focused on strategic objectives while maintaining professionalism and confidentiality.
This role provides valuable exposure to business operations and leadership, creating pathways into operations, office management, project coordination, and executive management careers.
π― ROLE OBJECTIVE
π Provide comprehensive administrative support to executives
π Manage calendars, meetings, and travel arrangements
π Coordinate communications and correspondence
π Organize business documents and records
π Support office operations and executive priorities

π Ensure smooth daily administrative operations

π Manage executive calendars and appointments
π Coordinate internal and external meetings

π’ Send meeting invitations and reminders
π Ensure efficient time management for executives
π Communication & Correspondence
π§ Manage emails and business communications
π Screen calls and handle inquiries professionally
π§ Draft letters, reports, and presentations
π Prepare meeting agendas and follow-up actions
π Maintain clear and effective communication channels
βοΈ Travel & Event Coordination
π Arrange business travel, accommodation, and transportation
π Prepare travel itineraries and documentation
π― Coordinate executive events and meetings
π€ Support conference and client visit arrangements
π Ensure seamless travel and event experiences
π Administrative Support
π Maintain records, files, and confidential documents
π Prepare reports, presentations, and business materials
π§ Organize office information and documentation
π Track tasks, deadlines, and follow-up items
π Support daily executive and office operations
π€ Stakeholder Coordination

π’ Coordinate communications on behalf of executives
