Role Description
This is an on-site, full-time role for an Executive / Administrative Assistant, located in Dubai.
The Assistant will manage day-to-day office tasks, provide executive administrative assistance, handle clerical responsibilities, maintain professional phone etiquette, and ensure effective communication within and outside the organization.
The role involves organizing schedules, coordinating meetings, managing documentation, and supporting management as needed.
Scheduling & Coordination
- Work closely and support Executive Management
- Manage calendars and appointments
- Make travel arrangements
- Assist with event planning and coordination
Operations, Contracts & Finance Support
- Provide PRO assistance
- Prepare and edit documents, reports and presentations
- Handle basic book-keeping and accounting tasks
- Coordinate subcontractor agreements and ensure accurate compensation calculations
- Oversee bill payments and timely renewal of ongoing contracts
Administrative & Office Support
- Answer and direct phone calls in a professional and courteous manner
- Manage incoming and outgoing correspondence
- Maintain office filing system
- Order office supplies
Research & General Support
- Conduct basic research activities
- Support management and team members with ad-hoc administrative tasks
Qualification Requirements
- University Diploma
- Proven experience of at least five years as an Executive Administrative Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment
- Proficiency in Google Workspace suite (Google Docs, Sheets, Slides, Calendar) or comparable suites (Microsoft Office, Zoho Workspace)
- Fluent professional English, Arabic - an advantage
- Excellent communication, interpersonal skills and organisational skills
- Attention to detail and accuracy
- Proactive approach to problem-solving
- Ability to work independently and collaboratively
- Proven ability to handle confidential information with discretion
