Design & Projects Executive

Job purpose

Franchise partner coordination

• Serve as the day-to-day contact for franchise partners, responding to design and project queries within agreed service levels.
• Guide partners through site finalisation, layout development, design approval, fit-out, and handover.
• Communicate requirements, timelines, and agreed design fees; flag requests outside the agreed scope or programme.

Design and technical submissions

• Receive, log, and circulate drawings, material samples, specifications, and technical submissions for internal review.
• Consolidate comments from Design, Projects, Operations, and other stakeholders and issue clear feedback to partners and consultants.
• Track revisions, resubmissions, and approvals; maintain accurate records of approved drawings and materials for each store.
• Check submissions against brand guidelines, design standards, and operational requirements, escalating deviations to the Projects team.

Project tracking and reporting

• Maintain a franchise store tracker covering active project stages, timelines, submissions, costs, risks, and outstanding decisions.
• Prepare regular status updates and reports for the Director and senior stakeholders.
• Identify technical issues and potential delays early, reduce site-stage changes and rework, and escalate risks with proposed actions.

Internal coordination and administration

• Coordinate with Design, Projects, Operations, Retail, Finance, and Franchise teams to obtain input and close actions on time.
• Follow up on consultant and supplier deliverables, quotations, and fee invoices related to franchise projects.
• Maintain organised project documentation and support improvements to delivery processes, templates, and checklists.
• Final approvals and major project decisions remain with the Director and relevant stakeholders.

Experience and qualifications

• Bachelor’s degree in interior design, architecture, project management, or a related field.
• 2–4 years’ experience in design coordination, project coordination, or fit-out, ideally in retail, F&B, or hospitality.
• Experience with franchise partners, landlords, or multiple external stakeholders is an advantage.
• Good understanding of fit-out drawings, material submittals, technical approvals, and basic MEP coordination.
• Ability to read and review drawings; working knowledge of AutoCAD is preferred.
• Strong skills in MS Excel, PowerPoint, and project tracking tools.
• Excellent written and verbal English; Arabic is an advantage.
• Highly organised, detail-oriented, and able to manage multiple projects across markets.
• Willingness to travel within the GCC and to franchise markets as required.
