Invoicing and coordination
- Prepare and process daily invoices for wholesale, foodservice, and van sales orders under supervision or direction.
- Share invoices with logistics for delivery planning, amend them based on delivery feedback, and file accurate records.
- Coordinate with sales and logistics teams on pending orders, discrepancies, order status, deliveries, and changes.
- Communicate invoice-related issues with vendors and internal teams.
Stock and documentation support
- Help monitor van sales and warehouse stock, report low stock or shortages, and support entry-level stock reconciliation.
- Enter transactions in ERP systems such as Focus and SAP under supervision; enter stock transfers and confirm them with the warehouse.
- Collect, scan, and digitally file documents for audit purposes.
Returns and reporting
- Assist with reviewing and documenting sales returns and enter return or credit-note data after senior team review.
- Compile basic reports such as daily invoice logs, delivery schedules, and summary sheets; distribute reports and follow up on missing data.
- Track invoice status and proof-of-delivery completion with logistics.
Education and experience
- A bachelor’s degree or equivalent is preferred.
- At least 1–2 years of experience in a relevant role is required.
Skills and qualifications
- Computer literacy and knowledge of work and skills in the related industry are required.
- English proficiency is required.
- Strong organization, planning, attention to detail, interpersonal, and reporting skills are required.
- Hands-on experience with operations software packages is required; SAP experience is preferred.
- Advanced Microsoft Excel skills, including VLOOKUP and pivot tables, are required.
- Numerical aptitude and quantitative skills are required.
- Relevant certification for the area or industry is preferred.
Work arrangement
- Full-time role; work location is in person.
