Role Overview

The Procurement Administration Officer provides dedicated administrative support to the Procurement Department, ensuring smooth coordination across internal and external stakeholders.

The role focuses on maintaining efficient procurement processes, accurate documentation, and timely communication between vendors, internal departments, and management.

Job Description

  • Support the Procurement team in day-to-day administrative operations.
  • Coordinate with internal departments to collect requirements and ensure timely processing of purchase requests.
  • Manage communication with suppliers and follow up on quotations, deliveries, and documentation.
  • Maintain procurement records, contracts, and vendor files in an organized manner.
  • Assist in preparing reports, purchase orders, and tracking approvals.
  • Ensure compliance with company procurement policies and procedures.
  • Act as a key liaison between Procurement and other stakeholders to ensure workflow efficiency.

Requirements

  • Bachelor’s degree or diploma in Business Administration or related field.
  • 2–4 years of experience in administrative or procurement support roles.
  • Strong organizational and coordination skills.
  • Excellent communication and stakeholder management abilities.
  • Proficient in MS Office and ERP systems (preferred).
  • High attention to detail and ability to manage multiple tasks.
  • Ability to work in a fast-paced, structured environment.
