We are seeking a highly organized, proactive, and professional
Administrative Officer
to support daily business operations and ensure effective coordination across departments.
This role is critical in maintaining smooth administrative processes, supporting executive management, coordinating with clients and vendors, and facilitating seamless communication throughout the organization.
A dependable and resourceful professional who can confidently manage executive-level administrative responsibilities, coordinate with clients and stakeholders, maintain strict confidentiality, and thrive in a high-pressure, fast-paced business environment.
Key Responsibilities
- Manage and oversee day-to-day administrative operations to ensure efficient office workflow and business continuity.
- Maintain accurate, organized, and up-to-date records, reports, files, and company documentation.
- Manage executive calendars, schedule meetings, coordinate appointments, and arrange internal and external business engagements.
- Provide direct administrative support to the CEO, including correspondence management, document preparation, meeting coordination, and project follow-up.
- Draft, review, and prepare professional emails, reports, presentations, and business communications on behalf of management.
- Coordinate and facilitate communication between departments to ensure effective collaboration and timely completion of tasks.
- Act as a primary point of contact for clients, addressing inquiries, coordinating meetings, and ensuring a high level of customer service and professionalism.
- Liaise with vendors, suppliers, and service providers regarding quotations, purchase requests, service agreements, and follow-ups.
- Handle confidential company, management, and client information with the highest level of discretion and integrity.
- Support management with special projects, operational initiatives, and administrative assignments as required.
- Ensure timely follow-up on action items, deadlines, and pending matters involving internal teams, clients, and external stakeholders.
- Maintain a professional office environment and contribute to a positive and productive workplace culture.
- Effectively manage multiple priorities and perform well under pressure while meeting deadlines in a dynamic business environment.
Requirements & Qualifications
- Minimum of 3 years of experience in administrative coordination, executive assistance, office management, or a similar role.
- Proven experience providing direct support to senior management or a CEO is highly preferred.
- Strong proficiency in Google Workspace (Google Drive, Docs, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills in English.
- Strong organizational, planning, and time-management skills with exceptional attention to detail.
- Ability to multitask, prioritize responsibilities, and work efficiently in a fast-paced environment.
- Demonstrated ability to work under pressure, meet deadlines, and manage changing priorities effectively.
- Experience coordinating with clients, vendors, and external stakeholders in a professional manner.
- High level of integrity and discretion in handling confidential and sensitive information.
- Strong problem-solving skills, proactive mindset, and solution-oriented approach.
- Professional appearance, positive attitude, and excellent interpersonal skills.
